How to Use InboxPilot
InboxPilot helps the Land Ally team manage email at scale. It uses AI to categorize, prioritize, and draft replies — so you can work through hundreds of emails in minutes instead of hours.
Getting Started
- 1Sign in — Click "Sign In with Google" above using your Land Ally Google account. This grants InboxPilot read-only access to your Gmail plus the ability to create labels and draft replies.
- 2Run the Pipeline — Go to the Pipeline page and click Start. This ingests your emails, runs AI analysis, applies labels, and generates draft replies. You control batch size and speed.
- 3Triage your inbox — The Triage view shows all emails ranked by priority. Review AI analysis, approve or edit draft replies, and move through your backlog.
What Each Section Does
Dashboard
Overview of your inbox stats — total emails, processing progress, high-priority count, and category breakdown. Start the pipeline from here too.
Triage
Split-panel inbox view. Left side lists emails ranked by AI priority (0-100). Right side shows the full email, AI analysis, and draft reply. Use keyboard shortcuts j/k to navigate.
Drafts
All AI-generated draft replies in one place. Review by status: Pending, Approved, Sent, or Rejected. Edit tone, wording, then approve for sending.
Pipeline
The processing engine. 4 stages: Ingest → Analyze → Label → Draft. Watch real-time progress. Choose backlog mode (process old emails) or ongoing mode (new emails only).
Screener
First-time senders are held here for review. Approve to process their email normally, or block to auto-filter future messages from them.
Analytics
Email volume trends, response time tracking, category distribution, and AI-generated insights about your inbox patterns.
How the AI Works
- Categorization — Each email is classified into one of 8 categories: Business, Personal, Newsletter, Transactional, Marketing, Support, Legal, or Finance. Labels are automatically applied in Gmail.
- Priority Scoring — Every email gets a score from 0-100 based on urgency, sender importance, whether action is required, and thread activity. Anything 70+ is flagged as high priority.
- Draft Replies — For emails that need a response, AI generates a draft with adjustable tone (Professional, Casual, Formal, Empathetic). Each draft includes a confidence score so you know how much to review it.
- Learning — When you correct a categorization, InboxPilot remembers. After enough corrections, it auto-applies your preferences to future emails from that sender or domain.
Safety Guarantees
- ✅ No emails are ever deleted — InboxPilot only reads, labels, and drafts. Zero delete operations exist in the system.
- ✅ Drafts require approval — AI-generated replies are never sent automatically. You review, approve, and confirm with a type-to-send safety check.
- ✅ Everything is reversible — Labels, categories, and actions can be undone. Nothing is permanent.
- ✅ You control the pace — Process 10 emails or 10,000. Adjust batch size and stop the pipeline at any time.
